Required Qualifications (as evidenced by an attached resume):

Bachelor's Degree. Two [2] years of full-time administrative experience or experience working in an educational environment. Must be a U.S. Citizen or U.S. Legal Permanent Resident per federal regulations

Preferred Qualifications :

Previous experience working with: international students, international education and/or international related field. Basic skills in Microsoft Word and Excel. Experience working with PeopleSoft. Knowledge of Sunapsis.

Brief Description of Duties :

Visa and Immigration Services (VIS) works with over 4500 international students, scholars, and faculty from more than 100 countries. As a part of International Academic Programs & Services (IAPS), we advise and assist those in F-1 and J-1 status with regard to U.S. immigration matters and regulations. VIS is committed to providing international students and scholars with the highest level ofexpertise in advising and immigration services.

The Visa and Immigration Services Staff Assistant will manage data between the Student Exchange & Visitor Information System (SEVIS), Sunapsis and PeopleSoft. The incumbent will be a Designated School Official and Alternate Responsible Officer- assisting in initial immigration document processing.

The successful incumbent will have excellent customer service and interpersonal skills, exercising strong organizational and time-management skills with an exceptional attention to detail. Essential for this role is the adeptness to work independently as well as part of a team with a collaborative approach to problem solving.

Visa and Immigration Services also notes that having experience interacting with a culturally and ethnically diverse population, facilitating intercultural sensitivity and understanding is an important qualification to possess for this position.

Administrative Support Responsibilities :

  • Coordinate with the Graduate School, Undergraduate Admissions, Graduate departments and other areas to communicate updates regarding new international students. Coordinate immigration orientation and semester workshops. Serve as a liaison between University Offices/Departments and VIS for all immigration requests. Work with Stony Brook University's Provostial area, Research Foundation, and University Hospital regarding immigration requests for J-1, H-1B, 0-1, E-3, and TN immigration statuses. Ensure appropriate and timely processing in accordance with USCIS, Department of Homeland Security, Department of State, & Department of Labor regulations/policies.

Office Management :

  • Coordinate office management system. Assist in data reconciliation between SEVIS, PeopleSoft, and Sunapsis. Coordinate international statistical data. Develop new plans/strategies to improve office efficiencies. Responsible for website management and social media communication. Coordinate arrival communication to new students/scholars and updates to continuing students/scholars. Supervise student workers/graduate assistants. Process Procurement requests. Assign cases to all student and scholar advisors on a daily basis. Assess and Analyze quantity of incoming cases to best allocate workload among VIS staff. Coordinate front office coverage, check-in system, overall management of front office.

Serve as Designated School Official (DSO) and Alternate Responsible Officer (ARO):

  • Review applications and supporting documentation for prospective and continuing F-1 and J-1 students. Issue initial/transfer Forms DS-2019 for J-1 Exchange Visitor categories using Sunapsis & the Student and Exchange Visitor Informational System (SEVIS). Issue initial/transfer Forms 1-20 for F-1 Exchange Visitor categories using Sunapsis & the Student and Exchange Visitor Informational System (SEVIS). Validate/Register newly arriving international students' records in SEVIS. Review documentation and issue travel signatures for F-1 and J-1 international students.

Liaison :

  • Serve as a liaison with SUNY-approved outside immigration counsel for all immigrant Permanent Resident petition requests for EB-1/2/3 categories. Work directly with university departments to determine eligibility of employees for EB permanent resident petitions. Work directly with immigration attorneys to obtain the Permanent Resident petitions that require review and approval by SBU. Work directly with the Provost's Office, Research Foundation, and University Hospital to obtain the appropriate signatories for petitions.

  • Coordinate the Procurement process between departments, individuals, VIS, USCIS, and the immigration attorneys.

Other duties :

  • Promote VIS and University's commitment to excellent customer service, maintaining an environment that is welcoming to persons of all backgrounds. Other duties or projects as assigned as appropriate to rank and department mission.

Special Notes:

This is a full time appointment. FLSA Nonexempt position, eligible for the overtime provisions of the FLSA.
